These few simple tips will help a manager to delegate effectively.

The art of delegation

There are times when a manager needs to delegate tasks to an individual member of his staff, or a team of staff. The art of delegation can be a difficult skill to learn but it is essential to good management that tasks are delegated to others at times.

Showing faith in staff

Delegation of a task is a transfer of trust to an individual, or team and shows an act of faith in the abilities of those entrusted with the task. This can raise self-esteem, confidence and motivation in staff knowing that their manager has faith in them.

With the delegation of the task it is also important to give them enough independence to allow them to take ownership of it. This will help to motivate them to achieve what is needed in the knowledge that their manager has such great trust in them. It also gives them a degree of authority which may be needed when dealing with other staff, or organisations.

The big picture

Show them the big picture and where the project will fit into that picture. This will help them to see their own place in that picture and help them understand what they are working towards and its importance to the organisation, or its clients. They also need to be given sufficient information, tools and resources to achieve the task.

It can be difficult, especially with new people, for a manager to keep out of the way and let them get on with it. Think of the benefits of having a member of staff, or team that can be trusted to complete a task.

A manager cannot do everything themselves so the art delegation is a skill that must be learned. If a manager constantly undermines those chosen for the task by over-ruling them, or by continuously picking fault, then confidence becomes undermined and morale diminishes.


For those doing the task learning may come from the actual doing and achieving. For the manager the learning may come from having to take a step back while watching other people learn. Of course, a successfully project completed by delegates, chosen by the manager, shows good judgement, boosting their own status and reputation.


There may be times when they will need support. The manager should not be tempted to take over the project. By all means ask relevant questions, but let them find the answers. In this way they can be subtly prompted and guided, but if their project is taken back, or taken over by the manager, then their confidence is destroyed.

They may believe that they never owned the task in the first place. Furthermore, they will simply rely on the manager to get them out of trouble in the future rather than learning for themselves.

By the manager showing a loss of faith and trust those who were doing the task may reflect this back on the manager who they may in turn be seen as never really being willing to trust them with ownership in the first place.

Instead, listen to them and ask them questions that will lead them to find the answers themselves. In this way the manager is encouraging them, while still showing faith, and helping them to grow into the challenge.

Benefits of delegation

Successful delegation helps managers to get tasks done but it also is a way of showing faith and confidence in people and nurturing their personal and professional development and in turn greatly benefiting the organisation.

Thank you for this post,
Let me add that "the big picture" for the staff, as well as support and feedback about their actions, can be provided with a help of collaborative software of your choice (we use VIP Task Manager http://www.taskmanagementsoft.com/ ) that is a proper instrument to delegate tasks via LAN, and then to track progress in real-time.
